Staff Advisory Council Meeting Minutes

March 8, 2018 (Benson, Room 401B/D)

9:00 to 10:30 am

  • Guest Speaker: Shannon Araya, Benefits Manager, Human Resources, shared updates on benefits changes.

    • HR is moving the benefit plan from fiscal year to calendar year (Jan-Dec)
      • Because of this, we will have 2 different enrollment periods
        • April 2-April 9 will enroll for July 1-December 31
        • Mid-Late October will enroll for January 1-December 31, 2019
    • You can complete the online enrollment form: anytime, anywhere
    • If you need enrollment assistance:
      • April 4: FACS: Custodial Training Room, 9AM-11AM and Graylyn Management House Building #2, 2:30PM-4:30PM
      • April 5: UCC WOW Room 2087, 10AM-12PM and Reynolda Hall Room 301, 1PM-3PM

  • By-Laws Amendment Vote
    • All By-Law Amendments were passed by the Council
  • Standing Committee Report-outs:   
    • Communications: we are still getting inventory of all the available advertising TV screens around campus. We are hoping to promote the Staff Picnic on the screens with open inventory.
    • Events: Staff Picnic 2018 will be June 7!
      • Location: Lower Quad (the Pit will be an indoor backup, as well)
      • Details: Games and other fun activities will be taking place on the Quad, with lots of delicious food!
      • Partnership: We are hoping to partner with Second Harvest Foodbank and hold a food drive
    • Fringe Benefits: Discussed the Annual Enrollment changes
    • Membership: SAC nominations are open until March 25th at 5PM. The Athletic Department needs additional nominations. Voting will start the week of April 2nd.
    • Pro Humanitate: The Backpack event was a success. Thank you to everyone who participated!
  • Outside Committee Report-outs:  SAC representatives on other committees –
    • Capital Planning Advisory: Nothing to report
    • Faculty Senate: Nothing to report
    • Parking & Transportation: W1 and UCC are installing new electric car charging stations in the coming months
    • Tree Advisory: Nothing to report
    • DIPC: Discussed what Diversity Education is currently required around campus (currently only required in three spaces) and the lack of understanding of what we mean by it when we say it among our campus constituents. In spite of what little we currently require, we have been hearing a lot lately about diversity education as an option (or requirement) for all sorts of folks. More importantly, if Diversity Education is becoming more and more of an “expectation” or “best practice”, then why? What is it that we think would be accomplished if we were to make it a requirement that all folks took part in the trainings. To that end, Jose’ Villalba sent out a survey/google form asking the committee to weigh in.
    • Finance Advisory: Nothing to report.
    • Poverty Task Force: Nothing to report.
    • Professional Development: Nothing to report.
    • Campus Rec Advisory Board: Phase III Grand Opening is March 28 from 3PM-5PM. All are welcome to attend!
  • Raffle Drawing—Dr. Price won a WF hat!

General Announcements

  • A message from Joe Cassidy, Executive Director of Campus Recreation:
    • There will be no change for 2018-19 in terms of employee memberships to the Wake Forest Wellbeing Center (e.g., Reynolds Gym, Sutton Center).  Benefited employees and retirees will continue to receive a complimentary membership as part of their University benefits package. Employees and retirees who don’t receive University benefits as well as campus employees of Follett, Aramark, and Budd Services have the option to purchase a membership for $30/month.  And, spouses/partners and adult dependents (age 18 – 26)  of employees also have the opportunity to purchase a membership provided the employee has an active membership.
  • April SAC Meeting – Eric Proctor, Workday Project Communications Lead, will provide an update about the progress of the project, as well as information about training.
  • Reminder – University Staff are always welcome to report bias incidents (whether you are the victim or a witness) via the University’s Bias Reporting tool. Learn more here: https://reportbias.wfu.edu/
  • Google 2-Step Verification – will be required for students at midnight on March 12th. If you work with students, please feel free to remind them!
